Work Orders Users with Administrative Permissions have the ability to Manage District Settings.
The page has been broken up into sections based on how the settings affect the system.
General - Shows all General settings related to the district
Work Orders - Shows all Work Order settings related to the district.
Inventory - Shows all Inventory settings related to the district.
Assets - Shows all Asset settings related to the district.
Manage District Settings
1. Select Settings > Setup Items > General Settings.
The Manage District Settings page will be displayed.
Set up the Following Settings as Needed:
General Tab
Allow Sign in via Google
1. This is a Yes/No setting. If set to "No", then the "Log In with Google" button on the login page will be removed. This can be helpful if your district is leveraging SAML Or any other SSO that's not Google.
Auto Generate User Barcode for New Users
If this is set to Yes, when a new user is added (whether manually, synced from another platform, imported, or via another product. such as Facilities Drawings) an automated Barcode is created. Barcodes will be 10 characters, start with a 3, and can contain numbers, uppercase letters, and the following characters: minus (-), plus (+), period (.), dollar sign ($), slash (/), and percent (%).
District E-mail for Contact Form:
Enter the email address of the person that should receive the contact forms from district staff members. Contact forms allow users to ask general questions regarding the use of ML Work Orders.
Email Reply Message:
Type a custom reply for when users reply to their email messages.
Fiscal Year Start Month:
Select the month your districts fiscal year starts
Include Buttons in Emails:
Select Yes if the Mark Complete button can appear on the emails. Select No if it is not to be displayed.
Sales Tax:
Users can enter a default sales tax rate for all purchase transactions (can be changed when entering the purchase transaction). Leave this field blank and the sales tax rate to automatically populate when entering labor transactions.
Requests Tab
Allow Completion Date of WO default to last labor entry date on Request:
1. If this setting is set to “yes” the completion date of the work order will reflect the last labor date entered on the work order. This includes if a user adds labor while the work order is completed or closed.
2. If this setting is set to “No”, the completion date will be date stamped based on the status being updated to complete (just like how it currently does)
Allow Edit on Completion Date in Request:
Select YES to let users with the Edit permission adjust the completion date.
Custom Note for Asset Field on Request Form
Adding a note here will display a message under the Asset Field on the Request form.
Labor Rows on Print Work Form :
Type in the number of rows you want to display on the "Print Work Order" form
Request IDs based on Fiscal Year:
Select yes to reformat your Request IDs numbers based on the fiscal year. Please click HERE to learn more.
Urgent Priority Message:
Type a custom message that will be displayed when a User selects "urgent" for a work order
Inventory Tab
Auto Calculate Inventory Unit Price:
Select yes to auto-calculate your inventory unit prices based on the overall cost for all inventory received. Then dividing by the current quantity of the inventory item.
Note: If this setting is enabled, you will not be able to edit the inventory unit price since the unit prices will get set when receiving.
Display Costs when submitting Inventory Requests:
If the setting is set to "yes" then display the "Price" and "Total" columns in the confirm inventory request page.
Display Requested Delivery Date on Inventory Requests:
If the setting is set to "yes" then display the "Requested Delivery Date" as a field in the confirm inventory request page
Require Budget Codes on Inventory Requests:
Admins can force users requesting inventory to add a budget code to their request. Select YES if you would like it to be required.
Asset Tab
Auto Generate Barcode for New Assets: Select Yes to have a barcode automatically created when a new asset is added – whether manually or imported. Automated barcodes use Code 39 Generic format, will be 10 characters, start with a 5, and can contain numbers, uppercase letters, and the following characters: minus (-), plus (+), period (.), dollar sign ($), slash (/), and percent (%).
Select No to have users manually enter a barcode into the Barcode field when adding a new asset.
Even with Yes selected, users can manually enter a barcode into the Barcode field.
During a sync, barcodes are not overwritten and the system will not duplicate an existing barcode.
Charge Warning During Check-Out: Select Yes to show a warning pop-up during checkout of assets if the user has unpaid charges. The checkout can be canceled, or the message can be overridden.

Overdue Reminder Emails: Select Yes to send overdue reminders via email.
Reminder Email X Days Out: Enter the number of days before an item is due to send the overdue reminder.
Require Approvals on Asset Transfers: Users with the Asset Transfer Admin permission will need to approve asset transfers.
Require due date during check out: Select Yes to require users to manually enter or select a due date from the calendar during checkout.
| Note: If this is set to Yes, a due date is required on all check out asset pages, including an asset's details page, Assets > Check-Out Assets, and Assets > Quick Circulation. This does not apply to Assets > Mass Circulation. |
Show EFR Sub-type: This enables the subtype field to display on assets that have specific asset types that can be linked to a more granular sub-type.
Use EFR Standard Fields: This enables our Standard Field features which apply additional fields and information to your asset types.
Asset Display Name: Select one of the following three options
Asset Name (Asset Type): Will Display the existing asset name along with the asset type selected
Client Name: Will display a custom client name based on the district's choosing
Client Name (Asset Type): Will display a custom client name based on the district's choosing along with the asset type selected.

Below is an example of how an Asset will display in Work Orders with the client name.
Student Role: Select the role you have for students.

Student Device: Select the 1:1 device type students check out.

History tab
Use the History tab to see who made changes to any of the General Settings tabs, what was changed, and when it was changed.
