With the Manage Users and Permissions administrative permission, you can import users from an Excel spreadsheet to create new users and update existing ones. This lets you add and maintain user information without entering each record manually.
Before you begin
Prepare an .xlsx file with the user information you want to import. Keep the following in mind:
- The file must include recognizable column headers that match the user record field names or permissions, such as Name Suffix, Additional CC Emails, and Asset Transfer Admin (permission).
- First Name, Last Name, and Email are required headers.
- You can create your own spreadsheet or download a template.

To import users:
- Select Users > Import Users. The Import page appears.
- From the Import Type drop-down, select Users.
- To use the template file, click Download Template.
- Under Import Option, do one of the following:
- To import new user records, select Create New Users.
- To Generate Barcode for Users, select Yes.
Note: This option is available even when the Auto Generate User Barcode for New Users setting is turned off.
To import updates for existing users, select Update Existing Users.
Note: Users are matched by their primary email. Barcode and External ID can also be used as secondary matching fields. If no email matches, a new record is created. - From If existing user has a value and import cell is blank, select one of the following:
- Keep existing value – leaves the current value unchanged when the corresponding spreadsheet cell is blank.
- Make field blank – clears the existing value when the corresponding spreadsheet cell is blank.
- This setting does not apply to addresses and roles, which are never deleted.
- From If existing user has a value and import cell is blank, select one of the following:
- To upload the file, click Choose File, select the file, and then click Open.
- To import new user records, select Create New Users.
- Click Import.
While the task is running, it appears under Running Tasks. Click Refresh to see the task's status. When the task is done, it appears under Completed Tasks.
To view the import log, click Download Output. The log shows the following:
- Total number of records in the file.
- Total number of records imported.
- Total number of records with errors, and the associated errors.
