User interface enhancement: In order to create a more modern experience, the user interface in Work Orders has a new look. You will see updated buttons in the header and footer, and a new font for options on the side navigation menu.
Manage business hours: If you are using Service Level Agreements (SLA), you can now add business hours. When business hours are set up, only these hours will count towards SLA countdown timers. Users with the Manage Site Settings permission will now see Manage Business Hours on the Settings side-tab.
Mass circulate assets: Mass checkout and check-in is now available. Users with the Edit Assigned User asset permission can access the new Mass Circulation page. This page includes a downloadable template to check out or check in assets.
After completing the steps to circulate assets, Job Manager displays running and completed tasks. While the mass circulation is running, you can perform other tasks in Work Orders.
Quick Circulation: A new Quick Circulation page lets you check out or check in assets by toggling which circulation option to use, scanning a user barcode, and then scanning the asset(s). Without resetting the page, you can scan another user’s barcode to easily continue circulating assets.
Asset Type Checkout Report: The new Asset Type Checkout Report lets district users quickly identify students that have zero, one, or multiple assets with the same resource type (such as Chromebooks) checked out to them.
Asset Sub Types: You can now manage asset sub-types in Work Orders. For example, you might have several models of Chromebooks in your district. Use the Manage Asset Sub Type option to add the various Chromebook models (such as Dell, Lenovo, or Acer). Users with the Add Asset permission can select both the Asset Type and Asset Sub Type from a drop-down when adding an asset. Users can also mass update the asset sub-type field for assets of the same asset type.
Transfer assets: The new transfer assets feature, lets districts can move assets from one building to another, while tracking the assets during the transfer process. There are several new options in Work Orders to support this feature:
- Require Approvals on Asset Transfers setting in Settings > Setup Items > General Settings > Asset tab.
- If the Require Approvals on Asset Transfers setting is Yes, then a user needs the Asset Transfer Admin Administrative Permission to approve, receive, and complete asset transfers.
- Users with the Mass Update Administrative Permission can only initiate a transfer and will see the Transfer Assets option (in Manage Assets, Action button).
- Assets that are checked out, lost, stolen, or in transit cannot be transferred.
Inventory enhancements: The inventory feature has been enhanced to let you track inventory parts across locations, associate those parts to devices, and ensure you have the right quantity on hand. Updates to the module include the following:
- There are two new fields when you add or edit inventory: Can be Charged and Asset Sub Type.
-
You can now associate inventory items with asset sub-types.
- Inventory now appears on its own tab on an asset’s details page, and there is an Asset tab on the inventory item detail page.
-
On the request details page, the Add Inventory button is now called Quick Add and retains the same functionality – adding inventory to a request.
-
The Add Inventory button now lets you choose the quantity and charge type for the inventory being used for a request. This button only appears if there are assets on the request, which have been linked to inventory items. If charges are created for the inventory, those charges appear on the request details page, Charge tab.
Vendor enhancements: For each vendor, administrators can now upload files, such as insurance certificates. They can also add additional contacts when adding or editing a vendor.
Share saved filters for Request Summary Dashboard: The Request Summary Dashboard provides powerful filtering capabilities for analyzing and managing work orders. Admins can now share saved filters with other users that need to see the same view. This update significantly improves collaboration, standardizes reporting views, and reduces redundant effort across various teams.
Sync assets between Work Orders and Intune: Work Orders and Intune can now do a two-way sync. When an asset’s status changes (to Lost, Stolen, or Available), a building changes, or an asset is deleted in Work Orders, you can choose how to update the data in Intune.
Sync assets between Work Orders and Moslye: Work Orders and Mosyle can now do a two-way sync. When an asset’s status changes (to Lost, Stolen, or Available), a building changes, or an asset is deleted in Work Orders, you can choose how to update the data in Mosyle.
Hide priority from requestors: When managing request types, administrators can choose to show the Priority field to all users or admins only. Now, there is an additional option to only show the Priority field to admins and assignees. When users view a request, the Priority field/column will adhere to this setting.
Create accounts from Google login: If Google SAML is set up in Work Orders, the Log in with Google button will act as an account creation button for users that have not previously logged into Work Orders.
Generate new user barcodes: Administrators can enable a new Auto Generate User Barcode for New Users field in General Settings. When a new user is added – whether manually, synced from another platform, imported, or via another product (such as Facilities Drawings) – an automated barcode is created. Barcodes will be 10 characters, start with a 3, and can contain numbers, uppercase letters, and the following characters: minus (-), plus (+), period (.), dollar sign ($), slash (/), and percent (%).
Color-code completed requests: Admin users can now use a toggle to change the font to grey for completed statuses (including Canceled, Closed, Completed, Declined, and Duplicate).
Control user email notifications: Administrators will now see a Notifications section of the Manager User page that lets them set email notifications when adding or editing a user.
“Reset Password" link removed from Profile page: For users connected to Active Directory, the Reset Password link will no longer appear on the Profile page.
Filter data on the Quick Update Assets page: The Quick Update Assets page lets you move assets from one location to another and assign assets to one or more users. Now users can click the three vertical dots within the header of the Quick Update Assets page to filter data and make it load faster.
