There are three possible ways for authorized ML Work Orders™ Software district users to respond to submitted Work Order Requests:
1. Approve the Request (with optional notes.)
2. Decline the Request (with optional notes.)
3. Put On Hold (pending more information, parts, or funding.)
Logging in via the Work Order Email
1. When a Request is submitted, an email will be sent to the appropriate administrators.
2. Select the login link within the email.
3. Log in to the software. The Manage Requests index screen will be displayed.
Approve from the Open Work Orders Screen
1. Once logged into ML Work Orders select Work Orders > Open Work Orders.
The Work Order Admin page will be displayed.
2. Select the () icon to quick approve. Or you can click into the Work Order and click the status button at the top, and then select Approve.
3. If you are the final Approver, you will be brought to the Assignment page, in which you can select the appropriate staff member(s) to assign the work order to.
Decline the Request
When a Request is submitted, you will receive an email alerting you to the submission.
1. Once logged into ML Work Orders select Work Orders > Open Work Orders.
2. Click into the work order and select the Status button at the top. From there, click Decline. You can enter a reason within the notes box before selecting the Decline button, which will send the note along with the declined email.
3. Put the Request On Hold
This command can be used if you need additional information from the requestor, you are awaiting parts to complete the work order, or you are awaiting funding.
1. Once logged into ML Work Orders select Work Orders > Open Work Orders.
2. Click into the work order and select the Status button at the top. From there, click On Hold.
District staff can then select the Remove Hold button once the hold is no longer needed by following the same process in Step 2.
Approving and Declining a Work Order via Email
1. Select the email in your inbox
2. Select Approve or Decline
This option will only appear if the General settings option "Include Buttons in Emails" is set to YES. In addition to this, the Last Approver will not have the ability to Approve or Decline via email.
Note: this email will be from Info@masterlibrary.com - In addition to this, the subject of the email will now include the MLW Request Type.
