ML Work Orders™ Users with the Manage Assets Permission have the ability to create and edit existing Assets.
Creating a New Asset
1. Select Assets > View All Assets.
The Manage Assets page will be displayed.
Note: Searching on the view all assets page is searching every field displayed.
2. To add an Asset, select Actions > Add Asset.
3. Select the Asset Type from the drop-down menu.
Note: When an Asset Type is selected - depending on which one is chosen, some subtypes can be associated. This is related to the EFR Standard.
Depending on what Asset Type is selected, the corresponding fields for that asset type will be displayed.
4. Enter the information in the Manage Asset Section and upload an image of the Asset.
Note: Multiple images can be uploaded when adding an Asset or Editing an Asset. You can do this by selecting Choose File and Control-clicking multiple images.
A separate Manage Images will appear so you can delete images.
5. Enter the remaining information in the fields.
Note: EFR standard sections can be expanded on to add additional information for the asset.

Note: You can assign users that do not exist in the system to an Asset. You can do this by clicking into the Assigned Users field and typing in a name, and selecting Enter on your keyboard. Once that is done, you can click Save.
*The Client Name field will display under the Asset Name field. When using both ML Work Orders and ML Drawings. Drawings will auto-populate an Asset name based on the Asset Type selected when annotating a drawing.
Having a client name will allow you to display the name of your choice rather than the auto-populated name.

Note: The name displaying will affect all pages, including Inventory, Assets, PMs, and when creating a Work Order.
7. Select the Save Button.
Note: Below are additional saving options
Save and Add: This allows you to save the existing asset that you're adding and takes you to a blank model to add another asset.
Save and Copy: This will add your asset and copy all of the information you just entered into another template. From there, you can adjust the name or any other fields that may not be similar.
This is good for adding assets that you may have a ton of - You can Save and Copy and simply adjust the Name, Serial Number, and Barcode and move along.
Sorting Columns on the View All Assets Page.
Select the column header to sort all Inventory based on that specific column.
Note: The column will be highlighted in blue when it is being sorted, and multiple columns can be sorted at the same time.

By selecting the three vertical dots within the header, each column can be filtered further.
A menu will be displayed that allows you to filter specific selections within the selected column.
Select the checkbox next to each item you would like to filter on, and then select the Filter button at the bottom of the menu.

More columns can be added for additional filtering options. You can add columns by selecting the columns button ( ) at the top right of the page. Next, select a column you want to display and click the right arrow (in red).
If you need to remove a column, select the options you want to remove on the right-hand-side and choose the left arrow (in green)
Select Save to Update the page.
Editing an Asset
Editing from the Asset Detail Page
Most Fields are now editable on the asset detail page. Editable fields have a blue hover-over background and the cursor displays the finger point to indicate a clickable area.
The Following Fields are Not-Editable from the asset detail page:

MLID
- This field is the Unique Database ID assigned to the asset record when created, so therefore its not editable.
- Asset Type
- This field is not editable from this page, however it is editable via the edit asset page.
- Assigned User
- This field is not editable from this page, however it is editable via the edit asset page.
- Depreciation Per Year, Salvage Date, Depreciated Value
- These are all calculated fields and therefore are not editable
Editing from the Asset from Edit Asset Page
1. Select Assets > View All Assets.
2. Select the () Icon next to an existing Asset
3. Modify any Asset information
Note: If you need to change the asset type, click the Change button.
If this is done, you will need to select a different asset type, then click Save.
4. Click Save.
Notes:
- The following message may appear if you use both MLW and MLD. "Please note that this change will also impact the settings on ML Drawings.”
- If an asset is checked out, both the assigned user and status fields will become non-editable. This is to ensure the assets "assigned to" user is maintained while the asset is checked out, as well as the status.
Viewing the Asset Detail Page
The Asset detail page will display all related information for your assets
Selecting the button will display all other fields on your asset record in your details tab. When all fields are displayed the button will update to and selecting that button will hide the extra fields from display.
Viewing an Assets Binder/section
1. Select Assets > View All Assets.
2. Select an Asset you would like to view.
3. Select the Binders tab at the top of the asset details page
Viewing an Assets on a Drawing
1. Select Assets > View All Assets.
2. Select an Asset you would like to view.
3. Select the Drawings tab at the top of the asset details page
4. Select a Drawing that the asset is associated with
Once the drawing has been selected, it will load the drawing and filter for the asset being viewed.
Setup Recurring Costs for Assets
1. Select Assets > View All Assets.
2. Select an Asset you would like to view.
3. Scroll down to Recurring Cost and click Add Cost.
4. Fill out the information below.
Type = Select the recurring cost type.
Cost = Type in the cost amount.
Start Date = Select a Start Date.
Recurrence (required) = Select the recurrence of the cost.
5. Click Save.
